1      Rules for memberships

Memberships cannot be cancelled and cannot be refunded.

2      Rules for Euroanaesthesia

2.1     User (delegate) cancellation of registration

  1. The User (delegate) can request, under exceptional circumstances, to cancel an order and obtain a refund for Euroanaesthesia registration, including related site event registrations made on the ESAIC Website or any registration website related to the ESAIC, before the pre-registration deadline. Requests will be reviewed on a case-by-case basis.
  2. The cancellation and refund of orders are at the discretion of the ESAIC. The ESAIC reserves the right to grant or refuse the refund of the registration fee.
  3. The justification for cancellation should be sent to info@esaic.org.
  4. Cancellation conditions for this year’s congress, please visit our Euroanaesthesia congress website.
  5. Upon the decease of the delegate, a full refund will be granted when relevant documentary evidence is produced to us in advance of the date of Euroanaesthesia.
  6. The ESAIC does not cover all costs incurred for transportation, accommodation etc.
  7. For Group Registrations, change of event from Virtual to Onsite is subject to 25% handling fees.

2.2     ESAIC (organiser) postponement of Euroanaesthesia

Should Euroanaesthesia be postponed by the ESAIC, the following policy will apply:

  1. If the delegate plans to attend Euroanaesthesia during the proposed postponed dates, no action is required on the delegate’s side other than to alert the ESAIC of their intention to attend the congress. As a registered participant, delegate registration can automatically be transferred to the re-scheduled congress.
  2. If the delegate is unable or unwilling to attend Euroanaesthesia due to the new dates, they can replace it with a new registration for the following year’s Euroanaesthesia congress. This request can be made up to two months before the congress.
  3. If the delegate is unable or unwilling to attend Euroanaesthesia due to the new dates and does not want to attend the following year’s Euroanaesthesia congress, they can request to cancel their registration and obtain a refund, including related site event registrations, up to two months before the proposed new congress dates.
    1. The ESAIC will retain 25% of the invoiced amount for congress registration as an administrative fee.
    2. Trainee members will receive 100% of the invoiced amount.
    3. 100% of the fees for workshops and/or pre-congress courses will be refunded for all.
  4. The ESAIC does not cover all costs incurred for transportation, accommodation, etc.
  5. Cancellation and postponement requests should be made through your myESAIC account.

2.3     ESAIC (organiser) cancellation of Euroanaesthesia

In the case of cancellation, due to exceptional circumstances, the ESAIC has the following policy in place:

  1. The delegate can receive registration for the following year’s Euroanaesthesia congress.
  2. If the delegate is unable or unwilling to attend the following year’s Euroanaesthesia congress, they can request to cancel their registration and obtain a refund, including related site event registrations by a date specified on the congress website.
    1. The ESAIC will retain 25% of the invoiced amount for congress registration as an administrative fee.
    2. Trainee members will receive 100% of the invoiced amount.
    3. 100% of the fees for workshops and/or pre-congress courses will be refunded for all.
  3. The ESAIC does not cover all costs incurred for transportation, accommodation, etc.
  4. Cancellation and postponement requests should be made through your myESAIC.

3      Rules for the Focus Meeting

3.1     User (delegate) cancellation of registration

  1. The User (delegate) can request, under exceptional circumstances, to cancel an order and obtain a refund for the Focus Meeting registration, including related site event registrations made on the ESAIC Website, or on any registration website related to the ESAIC, until the last date of pre-registration for the Focus Meeting. Requests will be reviewed on a case-by-case basis.
  2. The cancellation and refund of orders are at the discretion of the ESAIC. The ESAIC reserves the right to grant or refuse the refund of the registration fee.
  3. The justification for cancellation should be sent to info@esaic.org.
  4. If the cancellation is approved, 25% of the invoiced amount will be retained by the ESAIC as an administrative fee.
  5. Upon the decease of the delegate, a full refund will be granted when relevant documentary evidence is produced to us in advance of the date of the Focus Meeting.
  6. The ESAIC does not cover all costs incurred for transportation, accommodation, etc.

4      Rules for the Basic and Clinical Sciences Anaesthetic Course and Viva Course

4.1     Participant cancellation of registration

  1. The Participant can request, under exceptional circumstances, to cancel an order and obtain a refund of the registration fee, before the registration deadline. Requests will be reviewed on a case-by-case basis.
  2. The cancellation and refund of orders are at the discretion of the ESAIC. The ESAIC reserves the right to grant or refuse the refund of the registration fee.
  3. The justification for cancellation should be sent to exam@esaic.org.
  4. If the cancellation is approved, 25% of the invoiced amount will be retained by the ESAIC as a handling fee.
  5. Upon the decease of the participant, a full refund will be granted when suitable documentary evidence is produced to us in advance of the date of the course.

4.2     BCSAC/VIVAC postponed by the ESAIC

In the case of postponement, due to exceptional circumstances, the ESAIC has the following policy in place:

  1. All participant registrations will be given a new date for the postponed event.
  2. If the candidate accepts the new date, the registration will be rescheduled for the new date free of charge.
  3. If the candidate rejects the new date, the registration will be refunded, but 25% will be retained by the ESAIC as a handling fee.

4.3     BCSAC/VIVAC cancelled by the ESAIC

In the case of cancellation, due to exceptional circumstances, the ESAIC has the following policy in place: all participant registrations will be cancelled and a full refund will be given.

5      Rules for Masterclasses

5.1     Participant cancellation

  1. The User (attendee) can request, under exceptional circumstances, to cancel an order and obtain a refund for the Masterclass.
  2. The cancellation and refund of orders are at the discretion of the ESAIC.
  3. The justification for cancellation should be sent to info@esaic.org no later than 7 days before the start of the event.
  4. If the cancellation is approved, a 50€ administration fee will be deducted from the refund.
  5. Upon the decease of the participant, a full refund will be granted.
  6. Please be aware that all costs incurred for transportation, accommodation, etc. are not covered by the ESAIC.

5.2     ESAIC cancellation of the Masterclass

The Masterclass can be cancelled upon a decision by the ESAIC (minimum 2 weeks before the Masterclass) if the ESAIC and its partners deem the cancellation advisable.

In the unlikely case of cancellation, the ESAIC will propose to carry forwards or refunds when applicable.

6      Rules for Examinations (EDAIC Part I, Part II and OLA)

6.1     Participant cancellation

  1. Registration for Part I and Part II can be cancelled with the registration fee refunded, net of a € 50 handling fee if the cancellation request is presented before the registration deadline.
  2. Refund requests for Part I and Part II after the registration deadline can only be granted under exceptional circumstances. Please send the official documents justifying your refund request to exam@esaic.org no later than one month after the examination. The refund of the registration fee after the deadline is at the discretion of the ESAIC.
  3. OLA registration orders are not refundable.
  4. Upon the decease of the registered candidate before the examination, a full refund will be granted.
  5. All indirect costs incurred by the registration for EDAIC Part I, Part II and OLA such as transportation and accommodation are not covered by the ESAIC.

6.2     Examination postponed by the ESAIC

In the case of postponement, due to exceptional circumstances, the ESAIC has the following policy in place:

  1. All participant registrations will be given a new date for the postponed event.
  2. If the candidate accepts the new date, the registration will be rescheduled for the new date free of charge.
  3. If the candidate rejects the new date, the registration will be refunded, but €50 will be retained by the ESAIC as a handling fee. All indirect costs incurred by the registration for EDAIC Part I, EDAIC Part II or OLA such as transportation and accommodation are not covered by the ESAIC. ESAIC will strive to ensure registered participants, who rejected the new date, receive first priority to register for the exam the following year. For group registrations paid by a third party (hospital, National Society, etc.), the paying party will inform ESAIC of which candidates should receive first priority the following year.

6.3     Examination cancelled by the ESAIC

In the case of cancellation by the ESAIC, due to exceptional circumstances, the ESAIC has the following policy in place:

  1. All participant registrations will be cancelled, and a full refund will be given.
  2. All indirect costs incurred by the registration for EDAIC Part I, EDAIC Part II or OLA such as transportation and accommodation are not covered by the ESAIC.
  3. ESAIC will strive to ensure registered participants who have been cancelled by the ESAIC receive first priority to register for the exam the following year. For group registrations paid by a third party (hospital, National Society, etc.), the paying party will inform ESAIC of which candidates should receive first priority the following year.
